Position Overview
DVIRC is seeking a part-time, on-site Office Manager & Executive Assistant to support the President & CEO and ensure a world-class office and guest experience at the Philadelphia Navy Yard.
This highly visible role combines executive support, office operations, hospitality, coordination, and event logistics. You will be the face of the office—creating an exceptional environment for employees, clients, and partners.
Key Responsibilities
Deliver a Best-in-Class Office & Guest Experience
- Maintain a polished, welcoming, and professional office environment
• Prepare and serve light food, coffee, and refreshments
• Ensure meeting rooms, materials, and technology are prepared in advance
• Support workshops, VIP visits, and high-level convenings
Executive & Internal Coordination
- Support CEO communication with leadership and staff
• Coordinate Board meetings, agendas, and materials
• Assist in planning and executing internal events at the Navy Yard
• Support onboarding and offboarding logistics
Operations, Supplies & Logistics
- Manage office supplies, kitchen inventory, and hospitality resources
• Receive, route, and organize deliveries, mail, and shipments
• Maintain orderly office systems that enhance productivity and professionalism
Ideal Candidate
You thrive in a dynamic environment and take pride in delivering excellence. The ideal candidate brings:
- 3+ years as an Executive Assistant, Office Manager, or in administrative/hospitality roles
• Strong communication, interpersonal, and organizational skills
• Excellent critical thinking, follow-through, and problem-solving abilities
• A professional, proactive, discreet, and detail-oriented approach
• Strong technical skills, including Microsoft Office; familiarity with AI tools is a plus
• No college degree required—we value capability, professionalism, and drive
